Request for Proposals for Tree Inventory and Data Integration Services

The City of Davis wishes to engage the services of a qualified firm to develop a tree inventory focusing on trees under the maintenance responsibility of the City. The tree inventory will be used as a management tool by the City’s parks and urban forestry division and will focus on tree risk/public safety, tree protection/preservation, and tree replacement needs. The tree inventory will be include critical individual tree details for the trees included in the inventory. The City estimates that approximately 25,000 – 40,000 trees will be included in the inventory.

With guidance from City’s parks and urban forestry division staff, the consultant shall inventory publicly maintained trees in designated areas. The City will provide consultant with a Tree & Park Plotter© app, a browser-based web/mobile inventory, management, and reporting software application developed by Plan-It-Geo. The app will be used as the GIS database that will be populated by the consultant.

The consultant’s staff conducting the tree inventory are all required to hold a Western Chapter ISA Arborist Certification (WCISA).

There will be a MANDATORY Pre-bid informational meeting held on Thursday, November, 9 2017 at 1:30 p.m. at the following location:

The informational meeting will be held to allow for questions and clarifications concerning the City’s RFP process and subsequent contract award. Failure on the part of the contractor to familiarize themselves with all conditions shall not constitute a basis for subsequent contract adjustment. A proposer who fails to attend the pre-bid informational meeting will be considered non-responsive.

Following the pre-bid informational meeting, questions may be submitted via email to Martin Jones at mjones@cityofdavis.org. All requests for information must be received no later than Wednesday, November 15, 2017 at 4:00 p.m. Responses to will be sent by Monday, November 20, 2017 to all pre-proposal meeting attendees.
